Export tab
One section, Export, with four buttons.
| Button | What it does |
|---|---|
| Export to Excel | Saves the table as an Excel workbook (.xlsx), as it is on screen. Numbers stay numbers. |
| Export to PDF | Saves the table as a PDF, as it is on screen: open rows, shown columns, colors and fonts. |
| Export to Clipboard | Copies the table to the clipboard so you can paste it into Excel or Word (HTML and plain text). |
| Copy Settings | Copies everything this visual has saved - template, formatting, hidden rows and columns, rules, Design settings - as JSON text to the clipboard. |

Files: Excel and PDF
- Power BI asks where to save the file; a visual cannot write files itself. The file is named
Smart Matrix <date>.xlsxorSmart Matrix <date>.pdf. - The export uses what you see: rows that are open, columns that are shown, number formats, colors, fonts and borders.
- The host must allow downloads from visuals. In Power BI that is the tenant admin setting for custom visual downloads (under Export and sharing). Without it the button says Not allowed, and its hover text explains why.
Feedback on the button
The label of the button tells you how it went, and goes back to normal after a moment:
| Label | Meaning |
|---|---|
| Working... / Copying... | In progress |
| Saved / Copied | Done |
| Cancelled | You closed the save dialog |
| Not allowed | The host does not allow downloads from visuals |
| Not available | This host has no export service for visuals |
| Failed | Something went wrong |
Other ways to copy
- Ctrl+C (Cmd+C on a Mac) copies the selected cells (see Keyboard and mouse) or the selected first column.
- A column's or row's right-click menu has Copy > With Header / Without Header (column menu, row menu).
- Charts are drawn as small pictures when copied. They are not drawn into the Excel and PDF files yet (see Limitations).
