Export tab

One section, Export, with four buttons.

ButtonWhat it does
Export to ExcelSaves the table as an Excel workbook (.xlsx), as it is on screen. Numbers stay numbers. The free version exports the first 25 rows.
Export to PDFSaves the table as a PDF, as it is on screen: open rows, shown columns, colors and fonts. The free version exports the first 25 rows.
Export to ClipboardCopies the table to the clipboard so you can paste it into Excel or Word (HTML and plain text).
Copy SettingsCopies everything this visual has saved - template, formatting, hidden rows and columns, rules, Design settings - as JSON text to the clipboard. Needs a license (the button is locked without one).

Files: Excel and PDFโ€‹

  • Power BI asks where to save the file; a visual cannot write files itself. The file is named Smart Matrix <date>.xlsx or Smart Matrix <date>.pdf.
  • The export uses what you see: rows that are open, columns that are shown, number formats, colors, fonts and borders.
  • Numbers are exported as they are shown. A cell that reads 1,234.5 or 12% is exported with exactly that text; where the shown text can be reproduced from a real number and a number format, the cell is a real number with that format (so it still adds up in Excel), otherwise it is the text as shown.
  • Charts are not exported - not to Excel, not to PDF, not to the clipboard. A chart column exports the number the chart stands for, formatted like any number.
  • Excel: text that does not fit the column wraps, gridlines are off (the borders are the table's own), and Excel's green "number stored as text" marks do not appear. Rows are grouped by the depth of the hierarchy (Excel's outline, with the + / - buttons in the margin), so you can open and close levels there too; the sums of a group sit above or below its rows as they do in the table.
  • Free version: the first 25 rows of the table are exported, and under them one line says so ("Made with the free version of Smart Matrix: the first 25 rows. A license exports the whole table."). See License.
  • The host must allow downloads from visuals. In Power BI that is the tenant admin setting for custom visual downloads (under Export and sharing). Without it the button says Not allowed, and its hover text explains why.

Feedback on the buttonโ€‹

Other ways to copyโ€‹

  • Ctrl+C (Cmd+C on a Mac) copies the selected cells (see Keyboard and mouse) or the selected first column.
  • A column's or row's right-click menu has Copy > With Header / Without Header (column menu, row menu).
  • Charts are not copied as pictures: a chart column is copied as the number it shows (see Limitations).
